Who rents humanoid robots in Europe and how to choose

Renting a humanoid robot for an event is a young business in Europe — the number of companies that do it repeatedly, with their own hardware, is in the order of ten. This page sets out who operates in the field, how suppliers differ and what to ask before you send anyone a brief. Advertising and mobile robots (various suppliers)

A large share of what the market sells as “robot rental” is a rolling advertising panel or a remote-controlled mannequin. It is not a bad product, but it is a different one from a walking humanoid — and it costs differently. Ask for video from an event, not a render.

How to choose a supplier in four steps

  1. Write down what the event needs to achieve — Not “we want a robot” but “we want to stop people at our stand” or “we want one strong moment during the awards”. The format then almost picks itself.
  2. Ask for video and a reference — From a recent event of a similar type, with the client named and the date given. Ignore renders and manufacturer material.
  3. Get the total price itemised — Robot, operators, transport, script preparation, branding, photo and video. Only then can you compare offers.
  4. Check the date and the plan B — Who is holding the robot, until when, and what happens if it breaks. Where there is only one unit on the market, that answer matters more than the price.

How suppliers actually differ

Own fleet versus brokerage

A company with its own robots confirms your date immediately and stands behind availability. An intermediary has to find a robot first, so confirmation takes time and the client carries the risk. You can tell them apart by whether they send you photos from their own events or just the manufacturer's material.

How many robots at one event

Most suppliers in Europe will deliver one robot. Two or more humanoids means more operators, a second vehicle and a synchronised choreography — only a handful of companies can do it. For a gala evening or a conference opening, the number of robots is exactly what makes the difference.

What the robot actually does

The range runs from a standing exhibit at a stand, through welcoming guests and a photo point, to a stage show with dancers and live conversation in the guest's language. “We want a robot” is not a brief — decide first what it is meant to achieve.

Travel and international events

Driving with your own vehicle is more reliable and cheaper within Europe. Outside Europe you hit air freight of lithium batteries as dangerous goods, the ATA carnet and customs clearance — that stretches lead times into weeks, and not every supplier has it solved.

How the price is built

Some quote an hourly rate, some a day rate, some a package per event. The only comparable figure is the total price for your specific brief including transport, operators and preparation. A price list on a website means little if transport and staffing are missing from it.

References you can verify

Ask for video from an event and the client's name, not for view counts without context. Views are not reach and reach is not enquiries. A serious supplier will also tell you what the robot cannot do.

Public price lists are misleading in this field because everyone counts something different. What matters is the date and location, how long the robot is present, how many robots there are, the scope of the programme and transport. Is a robot at an event worth it at all?
