Robot at an Event Abroad: Transport, Team Accommodation and Schedule

Article summary

How does a humanoid robot get to an event abroad? Within Europe, it travels by road in our own vehicle with its crew, with no air freight of batteries. What to plan for in transport, accommodation and timing.

Within Europe, a humanoid robot travels to events abroad by road: in its own ROBOTio vehicle, accompanied by a crew, that is, the operators who run it at the event. We avoid air freight because of the lithium batteries. On an aircraft, batteries are classed as dangerous goods, and the whole check-in process takes longer. This gives you one practical rule: for an event abroad, plan well in advance and allow extra time for the journey, arrival and an on-site rehearsal. ## Why the robot travels by road Within Europe, road transport in our own vehicle is more reliable and less costly than the alternatives. More important than the saving, however, is control over the entire chain. The robot travels in transport cases, together with the equipment and the people who work with it. Nothing is handed over to third-party carriers, and nothing depends on a flight that may be delayed or cancelled. You will notice the difference above all when plans change. If the programme shifts, the vehicle and crew are already on the road with you. With last-minute air freight of batteries, the same change would put the event at risk. ## Why robots do not fly with their batteries Humanoids and the robot dog run on batteries. These are lithium batteries, which are classed as dangerous goods in air transport. Outside Europe, where flying is unavoidable, the following also apply: - air freight of lithium batteries as dangerous goods, - an ATA Carnet for the temporary export of equipment, - customs clearance. Taken together, this extends the lead time to weeks, and not every supplier has it covered. For events outside Europe, such as in Dubai, we therefore recommend raising the subject as early as possible. A sufficiently early date is a requirement there, not a courtesy. For an event in Europe, matters are not so complicated. Even so, please send your enquiry in good time so that we can confirm the date and plan the route. ## Who travels with the robot Each robot is accompanied by two operators throughout. One robot therefore means a pair of people; three robots mean six operators. The robot maintains its own movement and balance, while the operator controls direction and gestures. The operator also watches over the safe zone around the robot, whether at a trade fair or on stage. The more robots, the greater the logistics. Two or more humanoids require more operators, a second vehicle and coordinated choreography. At a single event we can manage up to four, for example [Unitree G1](https://robotio.eu/unitree-g1-basic) alongside the taller H2, and the [Go2 robot dog](https://robotio.eu/unitree-go2) can complete the line-up. ## Team accommodation Accommodation is a practical matter that organisers often overlook. The team needs rest, a place to charge equipment and a short journey to the venue. This means the following: - **Proximity to the venue.** The operators should be a few minutes from the hall, not across the city. A rehearsal and any adjustment to the script then do not become a race against time. - **Arrival before the event.** The robot must be installed and tested on site. This step is part of our offer, and for an event abroad you should allow it to take place the day before, if the programme permits. - **Vehicle logistics resolved.** The vehicle carrying the equipment needs somewhere to park and a place from which it can be unloaded. Please factor in access for the transport cases from the outset. - **A power connection nearby.** We need a socket close to the robot's performance area. We will set out the exact scope, including accommodation and other costs, in the quotation in advance. Prices are not published on the website; you will receive a quotation within 24 hours of your enquiry. ## What the schedule looks like An event abroad is more than a day in the hall. A sensible sequence looks like this: 1. **Enquiry and date confirmation.** Send us the date and location, and we will confirm availability. 2. **Script and persona.** The lines and persona are approved in advance. The robot speaks the language in which a guest addresses it, and 13 languages are available on the website. 3. **Departure and journey.** Our own vehicle with its crew, with no air freight of batteries. 4. **Arrival, installation and on-site rehearsal.** We check the surface, the space and the link-up with production. 5. **The event.** The operators stay with the robot throughout. 6. **Return journey.** Packing up and travelling back. Please bear in mind that the robot and team will still be on the road the following day. ### An example from the calendar The ROBOTio calendar shows how international and domestic events connect. The world premiere of [ROBOrevue in Paris](https://robotio.eu/case-study/roborevue-svetova-premiera-pariz-2026) took place on 1 September 2026; the very next day the robots opened the [TE Connectivity meeting in Paris](https://robotio.eu/case-study/te-connectivity-alm-paris-2026), and on 3 September 2026 the Czech premiere followed at [BEplan in Brno](https://robotio.eu/case-study/beplan-brno-2026-ceska-premiera-roborevue). Such a tight sequence demands careful route planning and leaves very little room for improvisation. For your own event, we recommend allowing a larger margin. The pair of [T-Mobile T-Data & AI](https://robotio.eu/case-study/tmobile-t-data-ai-2026-bratislava-praha) conferences on 5–6 October 2026 worked in a similar way: Bratislava, followed by Prague the next day. ## What an event abroad means for your budget and plan The price is made up of several items: the robot, operators, transport, script preparation and, where applicable, branding or photo and video. When comparing quotations, therefore, compare the total for a specific brief rather than individual rates. We will prepare a tailor-made quotation based on the location, date and number of robots. Deployment abroad suits, for example, a [trade fair](https://robotio.eu/robot-hire-by-event-type) or a [conference](https://robotio.eu/robot-hire-by-event-type). You can find out more about the brand and models in our [Unitree](https://robotio.eu/brands/unitree) overview. ## Frequently asked questions ### Can the robot travel by plane? Technically, yes, but lithium batteries are classed as dangerous goods in air transport. That is why we choose road transport in our own vehicle within Europe. Outside Europe, you must allow for air freight of the batteries, an ATA Carnet and customs clearance. ### How many people will arrive with the robot? Each robot is accompanied by two operators throughout. With several robots, the number increases proportionally. ### How far in advance should I enquire about an event abroad? As early as possible. For Europe, lead time helps with route and rehearsal planning; for events outside Europe, such as in Dubai, it is essential because of lead times measured in weeks. ### Can the robot handle a language other than Czech? Yes. The robot speaks the language in which a guest addresses it, and you approve the persona and lines in advance. ## Enquire about an event abroad Would you like a robot at an event outside Czechia? Send us the date, location and an outline of the programme via the form on the [robot rental](https://robotio.eu/robot-rental) page. You will receive a non-binding quotation within 24 hours.
